FlowAmt is an AI-assisted service that helps users understand German official letters and similar documents. You can upload images or PDFs and receive a structured explanation, deadlines, and suggested next steps in your chosen language.

FlowAmt is designed for everyday administrative correspondence — not as a substitute for qualified legal, tax, or immigration advice.

When you use FlowAmt, we may process the following categories of data:

• Uploaded documents and images (processed in memory for your request)
• Text extracted from your upload via PDF parsing or OCR
• AI-generated analysis and summaries
• Cached translations of prior analyses (when enabled)
• Technical metadata such as file type, size, timestamps, and safe diagnostic logs
• A cryptographic hash of your file to recognize identical uploads for performance

We process this data to deliver the service you request:

• Extracting readable text from PDFs and images
• Generating plain-language analysis of official letters
• Translating analysis into your selected language
• Caching prior results so identical files do not need to be re-processed
• Operating, securing, and improving reliability of the service

Depending on the situation, we rely on the following legal bases under the GDPR:

Where required, we ask for your consent — for example when you choose an analysis language or upload a document for processing.

• Performance of a contract / steps at your request — to provide OCR, analysis, and translation
• Legitimate interests — to operate secure infrastructure, prevent abuse, and improve performance through caching

FlowAmt uses trusted third-party AI and cloud providers to deliver OCR, translation, analysis, hosting, and infrastructure services.

Uploaded content may be sent to these providers only as needed to perform the functionality you request (for example text extraction, analysis, or translation). We do not sell your uploads.

Providers are selected for reliability and security. Specific vendors may change as the product evolves.

Raw uploaded files are not intentionally stored permanently on our servers. They are processed to complete your request.

When database caching is enabled, we may store:

• Extracted text from your document
• English base analysis generated once per unique file
• Translated analysis per language
• A SHA-256 hash of the file to identify duplicate uploads
• Basic file metadata (name, type, size)

Cached analysis may be retained for a limited period to improve performance for repeat uploads of the same file.

We aim to keep retention proportionate to the purpose. Account-based deletion controls and export options may be added in future versions.

We apply reasonable technical and organizational measures, including HTTPS encryption, restricted server-side access to secrets, and sanitized logging that avoids file contents.

No online service can guarantee absolute security. Please only upload documents you are comfortable processing electronically.

Analysis and translations are generated automatically. They may be incomplete, outdated, or incorrect.

FlowAmt does not provide legal advice, immigration advice, tax advice, or professional representation. Always verify important deadlines and obligations with the sender or a qualified professional.

Some providers may process data outside the European Union. Where this occurs, appropriate safeguards (such as standard contractual clauses) are used where required.

We may update this Privacy Policy as FlowAmt evolves. The “Last updated” date at the top will change when we do. Continued use of the service after changes means you accept the updated policy.
